In this blog post, we'll explain how you can continue to use the previous AI assistants.
Note: The existing AI assistants are currently still accessible via the URL https://app.spheriq.ch/ki-assistenten. However, they are being phased out and replaced by the new prompt launchers from Spheriq AI.
The prompt launchers work similarly to the existing assistants, but are more deeply integrated into the platform. You’ll find them right where you’re working—for example, on an organization profile, within a project, in a search, or, in the future, in other workspaces as well. This allows Spheriq AI to better take the specific context into account and provide more targeted responses.

Please note that these features are currently available only to nonprofits. Funders who would like to try out the assistants should contact us via chat.
If you're logged in to https://app.spheriq.ch, you'll find the AI assistants in the menu. Just click on "AI Assistants" to go to a page that lists all the AI assistants.
Project profile from PDF
At the top of the AI Assistant overview page, you'll find the option to create a project profile from a PDF. To do this, first click on "Do the Magic!".
You will be automatically redirected to the next page. To receive a project profile from the AI assistant, you must first upload your project dossier. Please note that you can only upload PDF files that are no larger than 10 MiB.
If you see the error message "Something went wrong here," the PDF file you uploaded is probably too large. Reduce its size and try again.
Once the PDF has been successfully uploaded, our AI assistant will work its magic. This may take anywhere from a few seconds to a few minutes.
Once the AI assistant is done, you'll see your project profile.
Click "Save Draft" in the bottom right corner to continue. You'll be taken to the overview page for the project you just created. If any information is still missing from your project profile, it will be highlighted in red here.
Fill in the missing information and review the data entered by the AI before continuing. In the top-right corner, you can click "View Project Profile" to see a preview of how your project profile will appear on the platform.
Once you’ve provided all the necessary information and are satisfied with it, you can publish your project profile. You now have two options: You can make your project publicly available so that anyone can view it, or you can keep it private and share it only with selected funding organizations. You can change whether your project is set to “Private” or “Public” at any time later on.
Cover letter for a specific application
Second from the top on the AI Assistant overview page, you'll find the option to create a cover letter for a specific application. To do so, click on "Do the Magic!".
You will be automatically redirected to the next page. Follow these steps:
Select your organization. If you manage multiple organizations, you can select the correct one from the drop-down menu here.
Select your project. When you click the drop-down menu, you’ll see a list of all the projects you’ve created for your organization on Spheriq. Select the project for which you want to create a cover letter.
Select the funding organization. In the search field, you can search for the funding organization for which you want to create the cover letter. You can only select organizations that are listed on the platform, and you can select only one organization at a time. Can’t find the organization you want to select?
- Make sure you’ve spelled the organization’s name correctly, exactly as it appears on the spheriq.ch online platform.
- Make sure it’s a funding organization. Organizations listed in our directory as nonprofits are not displayed here.Optional: Configure. Here you can provide instructions for the AI to follow when writing the cover letter. You can specify the writing style, add additional information, or even determine the length of the letter. The process is similar to ChatGPT.
If you’re not yet familiar with this process, feel free to experiment with it. For example, try the following prompts and see the difference in the results: “Use very formal and polite language. The cover letter is addressed to a large funding organization with strict guidelines,” or “Use informal language. Address the recipient as ‘you’ and write the cover letter in a friendly and familiar tone.”Select the language of the letter. You can choose from German, English, and French.
Once you've entered all the information, click "Create Cover Letter" in the bottom right corner. The AI will now process your information and generate your cover letter. This may take a few seconds to a few minutes.
You can now see a preview of the cover letter that was just generated. If you're satisfied with it, you can click "Export" in the bottom right corner. This button will download a Word file of the cover letter.
Important: Please read through the text carefully one more time and make any necessary corrections before sending the letter. If the AI assistant is missing any information, it will use square brackets and placeholder text. In our example, you can see that the details of the person sending the letter are still missing. That’s why [First Name] [Last Name] appears at the very bottom to indicate that this information is still missing. Such placeholder information is a common source of errors when working with AI, so be sure to pay close attention to it.
If the cover letter doesn't meet your expectations at all, you can click "Cancel" to return to the previous page and edit or add to the information.
Improve Project Profile
Third from the top on the AI Assistant overview page, you'll find the option to improve a project profile. To do this, click "Do the Magic!".
You will be automatically redirected to the next page. Here, you can select the organization and project you want to improve. If you manage multiple organizations on spheriq.ch, you can select them from the drop-down menu. In Step 2, “Select Project,” you’ll see all the projects you’ve entered on spheriq.ch so far. Use the drop-down menu to select the project you want to improve with AI. Once you’ve made your selection, click “Review Project Profile” at the bottom right.
The AI is now analysing your project profile. This may take a few seconds to a few minutes.
Once the analysis is complete, you’ll receive detailed feedback on all potentially problematic aspects of the project profile. The feedback is divided into several sections. Each section describes an issue and immediately provides a suggestion for improvement. The AI assistant only creates sections for areas where there is room for improvement.
At the bottom right, you can export the AI-generated analysis of your project profile as a Word file.
Magic Lists
At the bottom of the AI Assistant overview page, you'll find the Magic List. Click on "Do the Magic!". You’ll be automatically redirected to the next page. Here, you can first select one of your managed organizations. Next, you can choose the project for which you want to generate the Magic List. To do this, click on the drop-down menu and select from the projects you’ve already entered on spheriq.ch.
You can only select one project at a time. Once you’ve made your selection, click the “Generate Magic List” button in the bottom right corner to continue. The AI assistant will now automatically generate a Magic List; this may take anywhere from a few seconds to a few minutes. Once this process is complete, a new page will open displaying the Magic List you just created.
In this Magic List, you'll find up to 30 funding organizations that may be a good fit for the project you've selected.
The AI assistant assigned one of these two tags to each organization:
"A perfect fit" for funding organizations that are a great match for the project and align with it in many ways
“Partial match” for funding organizations that align with the project in certain respects but differ slightly in others or have a different focus.
In addition, the AI assistant has provided comments on each organization in the Magic List and explained in detail which aspects of the organization align with the project and which do not.
You can now find the Magic List under the "Lists" menu item in your personal lists. You can learn more about the lists and their features in this support article.
